To Start: Biotech Formation

Needs are simple here. Email, file sharing, password manager, and basic device setup. The temptation is to grab whatever is free and fast. The better move is to start on Microsoft 365 at a tier that includes security and device management. The Microsoft stack, when properly licensed, covers a surprising range of what you'll need as the company grows. Starting there means those capabilities are ready when you need them rather than requiring distracting migrations later.

Achieving Your First Hire

You've made an IT decision, whether you meant to or not.

How you provision that laptop, what access you grant users, how you handle email and file storage... that becomes the template.

What's worth asking: is this something you'd want to repeat twelve times? This is also the moment to establish a device management baseline, so devices are enrolled, encrypted, and recoverable if lost or stolen.

Lead Program or In-Licensed Molecule Identified

IP risk is real now. You have something genuinely valuable in your environment, and you need to treat it that way. This milestone also triggers diligence from licensing partners or investors who want to understand how your data and systems are managed.

A thoughtfully maintained IT environment is a very different conversation than one that needs to be explained (or forgiven).

Formal access controls, a durable file structure for data, documented data handling practices, and a hard look at what AI tools your team is using and where proprietary data might be going.

Series A financing

Two things happen at once here. First, your threat profile changes fast. The visibility that comes with a financing announcement attracts attention you weren't getting before.

Phishing attempts increase and get more sophisticated, including targeted attempts that reference real people and real events at your company. Newly funded biotechs are attractive targets. Security awareness training, email security tooling, and a real onboarding process quickly become important.

Second, outside parties will conduct IT diligence. Investors and partners look at your security posture and data management practices. An audit that comes back clean because someone was thinking ahead is a very different signal than one that returns a list of needed changes.

Prepare... before it's requested.

CRO Engagement and Clinical Development

External collaborators in your systems introduce risk that internal controls alone can't address. You need a documented process for granting and revoking external access, followed consistently. Compliance obligations accumulate here too. GDPR, CCPA, 21 CFR Part 11, GxP. None of these will wait for you to be ready.

New specialized tools also start entering the picture at this stage, regulatory archives, part 11 compliant electronic signatures, and quality management systems. Knowing how those integrate with the Microsoft foundation already in place, and selecting them thoughtfully rather than reactively, is where experienced IT leadership really earns its keep.

IND Filing and First Patient In

These arrive close together, and both carry serious IT implications. The process of drafting, reviewing, and filing an IND is extremely resource intensive. You must ensure your environment is configured to enable collaborative drafting and review without data corruption.

First patient in marks the start of clinical data generation. Validated systems, audit trails, and retention policies that meet regulatory standards. All of this needs to be in place well before either milestone arrives.
